RentRequests is a digital platform operated by SQNWeb, a trading division of SQNTech LTD, a private limited company registered in England and Wales ("we", "us", "our"). The Platform is available at rentrequests.co.uk and rentrequests.com.

1.1 What We Provide

RentRequests is a technology platform that:

• Allows renters to post their rental requirements.
• Allows landlords and agents to browse those requirements.
• Facilitates communication between parties.
• Enables renters to reveal landlord/agent contact information.

We do not act as a letting agent, manage properties or tenancies, collect rent or deposits, create or enforce tenancy agreements, or provide legal advice. We are a platform facilitator and not a party to any rental agreement made through the Platform.

2. Information We Collect

2.1 Information You Provide

• Account: name, email, phone, date of birth, postcode, password (hashed).
• Property requests (renters): property type, budget, location, bedrooms, move-in date, pet info, accessibility needs.
• Agent/landlord profile: business name, company number, service areas, properties, professional credentials.
• Messaging, support tickets, feedback.
• Payment information for our service fees — handled by Stripe; we never store full card details.

2.2 Information Collected Automatically

• Usage data: pages visited, time on page, links clicked, referral source.
• Device/browser: device type, OS, browser, IP address, language.
• Cookies and similar tracking (see our Cookie Policy).

3. How We Use Your Data

• To provide the Platform: accounts, requests, matching, payments for our service fees, and support.
• To improve the Platform: analytics, performance, A/B testing, personalisation.
• For communications: service announcements, replies, payment confirmations, password resets.
• For legal and safety: complying with the law, preventing fraud, enforcing our Terms.
• For marketing: only with your consent — you can withdraw at any time.

4. Legal Basis for Processing (UK GDPR)

• Contractual necessity (Art. 6(1)(b)) — to deliver the Platform to you.
• Legitimate interests (Art. 6(1)(f)) — improving the Platform, fraud prevention, analytics, security.
• Legal obligation (Art. 6(1)(c)) — tax records and lawful requests.
• Consent (Art. 6(1)(a)) — marketing and non-essential cookies.

5. Who We Share Data With

5.1 Other Users on the Platform

• Renters see about agents/landlords: company name, service areas, response time, ratings.
• Agents/landlords see about renters (after a token reveal): name, email, phone, requirements, contact information.

5.2 Third-Party Service Providers

• Stripe — payment processing for our service fees (PCI-DSS compliant).
• Resend — email delivery.
• Supabase — hosting and database infrastructure.
• Cloudflare — security and performance.
• Google Analytics — analytics, only with consent and with IP anonymised.
• Legal authorities where required by law.

5.3 We Are Not Your Agent

We do not share your data with property agents unless you choose to, do not act as an intermediary in negotiations, do not represent you to other parties, do not hold money in trust for you, and never sell your personal data.

6. Data Retention

• Account data: while your account is active and 30 days after deletion.
• Messages: 12 months after the last message.
• Payment records: 7 years (UK tax requirements).
• Cookies: as described in the Cookie Policy.

7. Your Rights (UK GDPR & DPA 2018)

• Right of access — request a copy of your personal data.
• Right to rectification — correct inaccurate or incomplete data.
• Right to erasure — request deletion.
• Right to restrict processing.
• Right to data portability.
• Right to object to processing, including direct marketing.
• Right to withdraw consent at any time.
• Right to lodge a complaint with the Information Commissioner's Office — ico.org.uk.

8. Children

The Platform is not intended for children under 18. We do not knowingly collect data from children under 18 and will delete it if discovered.

9. International Transfers

Some providers (e.g. Stripe, Google) may process data outside the UK/EEA. We rely on Standard Contractual Clauses, adequacy decisions, and anonymisation as appropriate.

10. Security

We use TLS encryption in transit, encryption at rest, hashed passwords, role-based access controls, audit logging, and a 72-hour breach notification process. No system is 100% secure.

11. Changes to This Policy

We may update this Privacy Policy. Material changes will be notified by email or via the Platform. Last updated 11 May 2026.
